Any ms excel pros can help out with a fire station rota issue pls?

Hi guys

I work at a local on call/retained fire station, we have to manage our rota system and its always been an old fashion board we had in the office where we put our times down. We have moved over to an online system all done by myself as the fire service give no funding no help nothing! this helps us out massively as means we dont have to all go down the station to amend our times and is easy to see any time your rota for the coming week.


Anyway Im hoping we can improve this more by adding a 4g tablet which will connected direct to the sheet and be mounted on the wall in our kit room, this will basically look up the spread sheet and see whos where at the specific time and arrange them on a separate page as a sort of live crew layout. Again this will all be funded by us and should improve turn out times as reducing confusing when youre called in on a shout. If you look at the bellow links you can see ocuk2 img is our rota and ocuk1 is a basic idea of what the live data sheet could look like. Also note how peoples names can move over at certain times this can cause confusion when 8 guys come in at once and they have moved over to the other appliance, especially at 4am in the morning.

Why use Excel? There are other options available if you aren't bothered about using Excel. You say you are funding yourself. What is the budget to do this?

I have had some success with using Microsoft StaffHub for small teams and organising schedules. The product is being retired this year and moved into Microsoft Teams. Its available on the cheapest online only versions of 365 for about £3 per month per user for the full Office experience with online word, email etc.

If you just want Teams (which has the features already available) then it is available for FREE from Microsoft allowing collaboration etc.

All of the above available as apps on your phones. All you need is someone to set it up. Provide the link/logins to the guys and off they go. Easy to use and setup a schedule showing shifts. Requests to switch shifts can also be managed in the app.
